Microsoft365 Storage Management Update

Dear WPI Employees and Students,

We continue to work toward optimal data storage, as announced in the April message about Microsoft365 Storage Management Over the coming year, ITS will work with the community to manage data needs and identify where best to securely store specific types of data. Total WPI storage should remain below 200 TB. To accomplish this:

  • Employees may store up to 25 GB of email in Outlook, and up to 25 GB of data in OneDrive.
  • Students may store up to 15 GB of email in Outlook, and up to 15 GB of data in OneDrive.
  • For academic, research, and business data that must be retained beyond those limits, ITS will work with individuals and departments to pursue other storage options.

We appreciate the immediate actions many have already taken toward this goal!

Here are the next steps planned.

  • Storage limits will be applied May 20 to most WPI accounts created prior to April 17, 2025.
    • If your account is using 80% or less of the space now allocated, the new limit will be applied. Shortly you will receive an email notification with additional details. There will be no disruption to your Outlook email or OneDrive file storage.
    • Beginning in June, ITS will contact users whose accounts are over the limit to provide guidelines and instructions for moving and managing data. Outlook email and OneDrive files will continue without disruption in the meantime.
  • Training Announcements:

You’re encouraged to review your Outlook and OneDrive accounts to manage data within the new limits. These resources can help:

Thank you again for your cooperation in meeting our goal of improved data management!
